JOB DESCRIPTION

Specialised Fire Protection, an Essential service are located in Coburg are currently looking for a self -motivated, well presented and efficient Administration Coordinator to support their Technicians and Service Consultants.

We're looking for someone to join a small and friendly team that supports and guides a number of busy technicians who perform fire essential maintenance, and installation and repair service work to commercial buildings, new construction and other commercial property.

This person will be trained on specific processes an procedures, but will need a good amount of experience on Microsoft packages and E-mail technology.

As a Senior member of the Administration team, you will be responsible to train and mentor junior staff so you can really showcase your Leadership skills in this position.

Duties will vary but the main functions include

  • Attend to the inbox emails, and manage all incoming inquiries
  • answering phone calls, complaints, update and book service requests (ie. installations, preventative maintenance, and breakdowns ) and cooperate with technicians for work to be carried out,
  • Organising customer accounts and billing process from payment to warranty, preparing documentation logging jobs and scheduling technician jobs, setting up new customers and contracts,
  • Provide updates to technicians, update job schedules, and help allocate resources
  • organise relevant quotations, collate and update relevant test sheets.
  • Monitor the progression of customer reports
  • Adhere to Government documentation and relevant legislation
  • You'll have the opportunity to maintain as well as grow the Contract and customer database.

The successful candidate will need to have the following:

  • Excellent organisation, presentation and phone / communication skills, and be good at follow -up
  • At least 1 years experience in a similar role within the Fire Protection sector
  • A sense of urgency, and committed to outcomes.
  • Task orientation and process driven is a MUST to be successful in this role.
  • Experience in the system - "UpTick" as well as, Excel and Word applications

You must be willing to picks things up quickly and work co-operatively amongst a small team.
