Do you like people and process, do you get a kick out of supporting Accountants, but love dealing with clients as well? This is the role for you!


Wilson Accounting are an innovative and friendly accounting team based in Bundoora. Specialising in cloud accounting and business advisory our firm is not your average boring, inefficient practice. We run a paperless office, fully integrated workflow system and all digital processes.


Who we are looking for 


With a diverse client base of SME's the role will suit a confident and positive, client services rockstar, who is crazy about workflow efficiency, and absolutely loves technology! You will have experience coordinating administration for a team of accountants, running internal projects, client services, and have worked at least 2 years in Public Practice Accounting.

We are looking for a people and operations guru to ‘own’ the client service experience in an exciting time of growth for the firm. This hands-on role requires someone who is flexible and agile to switch responsibilities depending on demands, and who is willing to do what it takes to get the job done with a smile. 


The role is critical to our success and is responsible for providing a variety of workflow support to the team internally, running workflow and progress meetings with the team weekly, assisting director with operational duties, along with ensuring our clients service functions are managed to perfection.

Key responsibilities of the role



  • Answering the phones and being the first point of contact for client queries - you must have strong customer facing skills and have an energetic and ‘can do attitude’
  • Appointments management (meetings and calls) with clients, prospects and others for team
  • Management of the workflow process, including chasing up internal team for missing information or details needed to keep workflow moving
  • File setup for client meetings including checklists and ATO pre-fill report
  • Entering new clients into Xero, ATO portal and ASIC register
  • Returning client records
  • Typing of letters and simple reports to clients
  • Filing of paper or electronic documents
  • Dealing with client tax office correspondence, including forwarding as required
  • Preparing checklists of information
  • Reviewing and checking client documents
  • Contacting clients for any missing information
  • Logging of each job into the workflow system
  • Collating and preparing work papers
  • Lodgments
  • Advising clients of tax registration requirements
  • Attending all corporate secretarial matters including forms
  • Monitoring tax due dates
  • Reviewing and chasing accounts receivable
  • Support to all internal team gathering and chasing up key client information
  • Management of client services projects


Do you fit the must haves?


It is absolutely essential you've worked in an intermediate to senior administrative role within an Australian public accounting firm for at least 2 years, and this ideally is within the last 5 years. 


You'll also confidently demonstrate the following attributes:


  • Excellent attention to detail and able to complete work accurately
  • Ability to work well to deadlines
  • Fun positive outlook that enjoys working with a team
  • Excellent oral and written communication skills
  • Passion for building strong client relationships
  • Proven high proficiency and computer skills with knowledge of MS Office, Excel and Word
  • Proven practical competence and experience with relevant systems (ATO, ASIC, Xero and Xero Practice Manager, Practice Ignition, Change GPS, FYIDOCS)
  • Xero experience is essential
  • Experience using tax office portal
  • Proven knowledge of ASIC and client related administration tasks will be highly regarded
  • Eager to learn new Apps to support clients
  • High level of technical aptitude across administrative functions
  • Process driven and compliant of procedures
  • Proven experience dealing with chasing up vital information and supporting teams on task completion daily
  • Proven strength at organising and managing time critical tasks for oneself and a team without oversight
